  • Overview

    Reporting to the EVP of Film & TV, the Executive Assistant / Office Manager is an organized, proactive, detail-oriented individual with an interest in the independent film, marketing and distribution space who is a mature and well-spoken individual who has a desire to learn and develop their skills in the industry through exposure and experience.

    The individual is responsible, first and foremost, for managing the desk of the Exec VP of the Orchard’s film and TV division – from taking calls, managing the schedule, coordinating meetings and conference calls, acting as a liaison between talent, producers and directors with the Exec VP as well as serving as the first and last person visitors to the Orchard offices come in contact with when they visit the company. In addition, the individual will have the opportunity to learn about the independent film industry by being exposed to all aspects of the business – from acquisitions and distribution to marketing and publicity, as well as the administrative components of the role.

    Responsibilities

    • Manage all aspects of the Exec VP’s day to day – from covering his desk, incoming and outgoing telephone calls, conference calls, scheduling meetings, travel and lodging and expenses.
    • Act as the Orchard LA’s office manager – liaison between building management, services and vendors, finance and legal departments in the corporate NYC offices.
    • Responsible for ideating and executing team and office events, managing monthly business communications and newsletters for the business, coordinating screenings for external and internal stakeholders and manage all technology throughout the office required by team members for meetings, screenings, conference calls and new employee orientation/setup.
    • Participate in weekly film related calls, meetings, and strategic sessions to better understand each project’s day to day requirements and assist in related projects where time allows.
    • Manage monthly film business newsletter communications for the wider company, coordinating with all departments of the business to create and educate the global team on developments, deals, marketing and sales results across the organization.
    • Support the EVP across all departments, familiarizing ones’ self and staying up to date on each key project and initiative across acquisitions, development, distribution, business development, marketing, sales, operations and client management.

    Qualifications

    • Excellent verbal and written communication skills, with the ability to communicate with partners, filmmakers, producers and talent
    • Extremely detail oriented with strong organizational skills
    • Self-starter with the ability to multi-task, prioritize to tight deadlines and stay focused under pressure
    • Team player who can work effectively across many different departments
    • Passionate about independent film and entertainment
    • Bachelor’s Degree required
